Tips to streamline Fractional re-entry

As a fractional director, you’re juggling multiple clients and dipping in and out of each workplace, which makes it really easy to lose the thread on critical jobs and deadlines.

The key is to create a “frictionless reset system” that gets you back into each client’s priorities quickly.

Here are some practical tips that I’ve found work for me:

 1. Use a Client-Specific Dashboard


  • Keep a one-page Command Sheet for each client (Notion has a good status driven dashboard system that works well, you could use OneNote or even a shared doc).

  • Include: Top 3 priorities Upcoming deadlines Key people to check in with

  • Get into the habit of updating it before you leave their office so when you return, you’re already oriented.


 2. Also set “Re-entry Reminders”


  • Before leaving, schedule a calendar reminder for the next day you’re back on-site.

  • The reminder should contain: What’s urgent What’s pending approval Anything time-sensitive that might get lost in your absence


This means you don’t waste the first hour “remembering where you left off.”

 3. Use a Parking Lot List

Keep a running list of things you didn’t finish but must revisit. Categorise these into: 


  • 🔴 Urgent (must be handled on the next visit) 

  • 🟡 Important (soon but not immediate) 

  • 🟢 Nice-to-have (when bandwidth allows)


 4. Assign Owners for Progress While You’re Away


  • Before you leave, clarify who owns what so deadlines don’t stall.

  • Ask them for a 1-line update (email, Slack, WhatsApp) by a set time before your return — so you land back with status already in hand.


 5. Build a Standard “Arrival Routine”

Every time you step back into a client:


  1. Check your dashboard/command sheet.

  2. Scan email/Slack for urgent updates.

  3. Touch base with key stakeholders.

  4. Revisit your parking lot list.


This ritual keeps you consistent and quick.


 6. Automate Where Possible


  • Use recurring reminders (e.g. “check supplier contracts every 4 weeks”) so they don’t rely on memory.

  • Tools like Todoist, ClickUp, or even Outlook tasks can help keep everything segmented by client.
